Print Terms & Conditions

Please read these terms before placing your order. By ordering from The Promo Trap, you agree to the following terms.

File Requirements Section 1

All artwork must meet the following specifications before production begins. Files that do not comply may result in quality issues, delays, or additional fees.

Safe ZoneKeep all text and logos at least 0.125″ inside the trim edge. 1″ for banners.
Color ModeCMYK required for flyers, banners, and yard signs. RGB or CMYK accepted for DTF.
FontsAll fonts must be outlined or embedded before submitting.
DTF FilesPNG must have a transparent background. No white fill.
Multiple FilesZIP together and label clearly. Example: front.pdf, back.pdf.

Files submitted without meeting these specs may be printed as-is when the Print As-Is option is selected. The Promo Trap is not responsible for quality issues from non-compliant files.

Proof & Quality Check Section 2

Every order includes either a Quality Check or Print As-Is option at checkout.

Quality Check means we review your file for resolution, bleed, and obvious errors before sending it to press. This is a technical review, not a visual design proof.

  • Quality Check adds approximately 1–2 hours to your turnaround.
  • If we find an issue, we will contact you before proceeding.
  • We recommend Quality Check for all first-time orders.

Print As-Is means your file goes directly to press as uploaded. You accept full responsibility for the accuracy and print-readiness of your file.

Design assistance orders always receive a digital proof before printing, regardless of your selected option. We will email the proof for approval before production begins.

Color Accuracy Section 3

The Promo Trap uses commercial digital printing equipment. We cannot guarantee an exact color match between your screen and the printed output.

  • Monitor colors are not a reliable reference for print output.
  • CMYK files produce more accurate results than converted RGB files.
  • DTF transfers accept RGB and CMYK, but colors may shift slightly.
  • Minor color variation between print runs is normal.
  • For exact color matching, include Pantone or CMYK values in your order notes.

We are not responsible for color shifts caused by RGB-to-CMYK conversion or differences between monitor calibration and printed output.

Turnaround Times Section 4

Turnaround begins after payment is confirmed and your file has passed the quality review. All times are business days, Monday through Friday, excluding holidays.

Turnaround times are estimates, not guarantees. Rush options are available by request. The Promo Trap is not liable for missed deadlines caused by production delays outside our control.

Same Day Orders Section 5

Same day production is available on select products and is shown as an option on the product page during checkout.

Eligible products: Flyers, Business Cards, DTF Transfers, Gang Sheets, Event Tickets (no add-ons), Posters, CD Inserts, Scan Cards, and Retractable Banners up to 3 units.

  • Orders must be placed before 2:00 PM EST, Monday through Friday.
  • Files submitted after 2:00 PM will be moved to next business day.
  • Same day is available for in-store pickup only.
  • No same day shipping under any circumstances.
  • Same day is not guaranteed during high-volume periods or holidays.
  • Ticket add-ons (numbering, perforation) are not same day eligible.
  • Same day pricing is shown on the product page at checkout.

The Promo Trap is not liable for missed events or losses caused by orders that cannot be completed same day due to file issues, payment delays, or volume limitations.

Payment Section 6

Full payment is required at checkout. We accept all major credit and debit cards, Apple Pay, Google Pay, and Shop Pay. Cash and card are accepted in person at our Riverdale location.

  • Orders will not enter production until payment is confirmed.
  • The price at the time of ordering is the price you pay.
  • We do not offer net terms or invoicing for standard retail orders.
  • Wholesale pricing is available. Contact us for details.
  • Add-ons are billed as separate line items at checkout.
Pickup & Shipping Section 7

Pickup is available Monday through Friday, 10:00 AM to 6:00 PM EST.

  • You will be notified by text or email when your order is ready.
  • Orders are held for up to 30 days from the ready date.
  • Unclaimed orders past 30 days may be disposed of without refund.
  • Anyone may pick up using your name and order number.
  • Standees, big heads, A-frames, and backdrop banners are pickup only.

Shipping is available nationwide for most products.

  • We are not responsible for carrier delays after the order leaves our facility.
  • Damaged shipments must be reported within 48 hours of delivery.
  • Send photo documentation to thepromotrap@gmail.com to open a claim.
  • We are not liable for losses due to incorrect addresses at checkout.
  • Same day orders are pickup only. No same day shipping.
Reprints & Refunds Section 8

All orders are custom printed to order. We do not offer refunds on completed print orders.

We will reprint at no charge when:

  • The print quality is defective due to a press or equipment failure on our end.
  • We printed the wrong product, size, or quantity.
  • The finished product differs significantly from an approved proof.

We will not reprint or refund for:

  • Errors in customer files submitted using the Print As-Is option.
  • Typos or design errors in customer-supplied artwork.
  • Color variation within normal industry standards.
  • Errors that were visible on an approved proof.
  • DTF files submitted with a white background instead of transparent.
  • Files submitted at low resolution by the customer.
  • Files submitted without bleed where bleed was required.

Reprint requests must be submitted within 5 business days of pickup or delivery with photo documentation. Email thepromotrap@gmail.com. Requests after this window will not be honored.

Design Assistance Section 9

Design assistance is available as an add-on at checkout. We will design your artwork using the assets and instructions provided in your order notes.

  • Upload any logos or reference images to the file upload field.
  • One round of minor revisions is included.
  • Additional revisions beyond the first round may incur extra fees.
  • A digital proof will be sent for approval before printing.
  • Same day is not guaranteed for design orders.
  • You are responsible for the accuracy of all names, dates, and contact info.

The design fee is non-refundable once design work has begun.

Artwork & Copyright Section 10

By submitting artwork, you confirm that you have the legal right to print all elements in your file.

  • You own or are licensed to use all artwork, images, and text submitted.
  • Your file does not infringe on any copyright, trademark, or IP rights.
  • You have obtained all necessary permissions and releases.
  • Your artwork is not intended for counterfeit or fraudulent purposes.

The Promo Trap reserves the right to decline any order we believe may violate copyright or trademark law.

The customer assumes all legal responsibility for the content of their submitted artwork. The Promo Trap is indemnified against any claims arising from printing customer-supplied materials.

Limitation of Liability Section 11

Our total liability for any claim will not exceed the amount paid for that specific order. We are not liable for any of the following:

  • Lost profits, lost sales, or consequential damages.
  • Missed events, deadlines, or business opportunities.
  • Carrier delays, damage, or loss in transit.
  • Losses from incorrect information provided at checkout.
  • Any indirect, incidental, or punitive damages.
  • Delays caused by file issues or circumstances beyond our control.
Changes to Terms Section 12

We reserve the right to update these terms at any time. Changes will be posted here with an updated date. Continued use of our services after any update constitutes acceptance of the new terms. Contact us at thepromotrap@gmail.com with any questions before placing your order.
